Letters Of Termination/Letter To Quit

Writing a letter of termination letter can be very difficult. You are leaving a job OR you are preparing to terminate an employee's employment. Either way there are some simple tips below. We recommend you allow a trusted colleague read it before it is released. Be sure to make a copy of your finished letter of termination or letter to quit.

Most employers require some sort of a notice before an employee terminates employment with them. This is typically two weeks, however your specific job description or employment policy may be different. Our advice to you is that you review any and all documentation you received from your employer before you notify the employer of your desire to terminate.

Suggestions:

  • Try to make the letter as pleasant as possible. This is true even if your decision to leave is under negative circumstances.
  • Keep the letter to a maximum of three paragraphs.
  • Keep it clear. Don't ramble. Check punctuation.
  • Optional: In the letter, ask for a letter of recommendation. (You can verbally request this when the employer has had time to digest your termination letter).

Benefits:

  • Any benefits and/or salary you are entitled to receive upon leaving.
  • Continuing health insurance coverage through COBRA (Consolidated Omnibus Budget Reconciliation Act)
  • Unused vacation and sick pay
  • 401K or other pension plans.

Important Notes:

Once you give your notice, your employer will still expect you to adhere to the company policies up to your last day of employment. For the duration of your employment:

  • Show up on time
  • Don't "bad mouth" the employer, any employees, clients, customers, etc.
  • Any pending work should continue to be appropriately addressed and finished whenever possible. Any work not completed by your last day of employment should be prepared to be passed on to another employee. (The employer may decide what to do here.)
  • Try to be upbeat and a team player.

Dear Mr. Employer,

I want to take this opportunity to thank you for the years of experience I have gained while employed with Vinny County Social Services. After long deliberation, I have made the tough decision to accept a position someplace else. My last day of employment will be ___________

I've come to know how important getting the appropriate services to those in need in a timely manner is tantamount to better, independent and more cohesive families. I feel my paperwork has become much more organized and neat.

Please let me know if I can be of any assistance during this transition.

Example 2

Dear Sara,

The purpose of this letter is to give notice of my termination with Papa's Health Care. As per Papa's employment policy, I am giving my _____ week notice. My last day will be __________. I've appreciated everything I have learned while here and am sorry to leave, however, I have accepted a position with Mama's Geriatric Care Services for personal reasons. I am willing to offer my services (or please let me know what I can do) to help you during the transition period. Upon my last day with Papa's, a recommendation letter would be very much appreciated.

Example 3

Dear Mrs. Jones,

A while back I informed you that my (husband/wife) was interviewing for a district managerial position in another state. He/she was offered and accepted the position. I therefore must reluctantly tender my termination notice to you. I have enjoyed working with you and all the others over the years. My last day must be __________. If possible, a recommendation letter from you would be very much appreciated. Please let mw know if there is anything I can do to help you transition my replacement.
